Breathe Introduces Automated Holiday Approval

Dealing with holiday and leave requests can be a real hassle, especially when everyone wants time off at the same time. Thankfully, Breathe’s new feature has arrived to save the day. It automates the entire approval process, making life much easier for HR teams and managers. 

Here’s a breakdown of how it operates:

  • Setting Departmental Rules: You can specify the maximum number of employees allowed to be on holiday simultaneously within each department.
  • Automated Approval: If a leave request meets the departmental limit, Breathe automatically approves it. Both the employee and the holiday approver receive email notifications confirming the automated approval. If no holiday approver is assigned, notifications are sent to all HR users.
  • Manual Approval: If a leave request exceeds the departmental cap, it’s forwarded to the employee’s holiday approver for manual approval or rejection.

Enabling Holiday Approval Automation

The feature is included in Regular plans and above. It’s enabled by default in your Breathe account, but you can toggle it on or off according to your preferences.

Navigate to Configure > Settings > Modules > Included modules and ensure the ‘Holiday Approval Automation’ module is checked.

Once the feature is enabled, you can set up rules for each department. Here’s how:

Navigate to Configure > Settings > Absence settings > Holiday Approval Automation > Select Departmental > Click + to add a new rule.

Select the department and set the maximum number of employees allowed on holiday simultaneously.

Reporting on Approved Automated Holidays

Keep track of approved leave records, including holidays approved through automation, with the Leave Overview report. Here’s how:

Access the report by going to Reports > Absence reports > Leave Overview.

The Admin will be shown as having approved the holiday request for any leave automatically approved via a holiday automation rule.

The ‘Automated Approval’ column will indicate ‘Yes’ if the holiday has been automatically approved by a set automation rule.
